AFLV West FAQs


Whether you are a first timer, or a seasoned attendee, we hope we can answer any questions you may have about #AFLVWest. Don't see your question below? Email us and we'll help you out.

 

Besides the basics, what should I pack?

  • T-Shirts to donate to the T-Shirt Auction
  • Power strip - Some of you will be staying four people to a room, so you might run out of plugs with all those laptops, phones and extras plugged in. 
  • Phone charger
  • Cash for tipping - It is customary to tip $2 per bag to anyone that handles your luggage, each rider should tip $2 to the shuttle driver, and each guest should leave at least $5 per day to the housekeeper. 

What should I wear?

  • Thursday: Council apparel, letters, or collegiate gear.
  • Friday day: Business casual during the educational sessions. Need ideas? View our Pinterest board
  • Friday night: Casual. Dinner is on your own before the movie night, so wear what you normally would to go out to eat.
  • Saturday day: Business casual during the educational sessions. Need ideas? View our Pinterest board
  • Saturday night Recognition Banquet: Pin attire.
  • Saturday AFLV Late Night sponsored by ALSAC/St. Jude: Stay in your pin attire, or wear your council apparel, letters, or collegiate gear again.
  • Sunday: Casual in preparation for the trip home.

I see we have luncheons and a banquet, but what about other meals?

Breakfast and snacks will not be provided by AFLV. We recommend bringing some extra cash to purchase breakfast at the hotel, or plan on packing some wrapped, non-perishable food to bring with you. Your room won't have a refrigerator or microwave, so plan accordingly. Click here for food guidelines on what is okay to carry-on or check when flying.

 

Dinner Thursday and Friday nights are not provided by AFLV. On Thursday, we encourage you to dine early so you can attend the Welcome Receptions beginning at 6:00 p.m. Click here to see all the dining options near the hotel.

 

How can I apply for a conference scholarship?

Conference scholarships are provided by AFLV and our interfraternal partners. Scholarships for #AFLVWest were due February 15, 2018, and they are no longer available.

 

Where can I study?

We know how important your studies are, so we've created study opportunities throughout the conference. Visit our study lounge Thursday from 2-11 p.m., Friday from 8:30 a.m. - 11 p.m., and Saturday from 8:30 a.m. - 6:00 p.m.

 

What about Wi-Fi?

Unfortunately, we are unable to provide Wi-Fi in individual rooms, but it is available for purchase. You may enjoy free wifi in the hotel lobby and coffee shop area.  

 

I'm going to miss classes, how should I let my professors know?

We've made it super easy by creating a sample letter you can customize to either e-mail or hand to your professors. The letter explains the conference and why it is beneficial for you to attend. 

  

What is the alcohol policy?

Are you 21? No? Then no alcohol for you.

 

Are you 21? As an attendee of this conference, alcoholic beverages are not permitted in general hotel spaces and there will be no alcohol permitted in guest rooms. Alcohol is also not permitted at any conference event, including meals. 

 

If a participants in a hotel room allows an underage person to drink alcoholic beverages in that room (regardless of who provides the alcohol), the of age individual may face legal action. The possession of an unopened container of alcohol is illegal for anyone under 21.

 

Individuals under the age of 21 caught drinking alcohol, as well as those people that provided the place and/or the alcohol for them to drink, may be asked to leave the conference.

 

The use of a fake ID is a criminal offense and offenders may be asked to leave the conference. Many past participants have been disappointed or even surprised being turned away for having a fake ID. Fake IDs are easily identified and are taken very seriously. 

 

My advisor mentioned a standards policy. What is this?

The standards policy sets the high expectations for all attendees to uphold their institution and organization ideals. Basically, behave yourself, be respectful of those around you, and if you are under 21, absolutely no drinking. Please review the standards policy here.

 

What ed sessions should I attend? 

That is totally up to you; however, we do recommended that your group divides and conquers. It might be beneficial to assign which individuals will go to specific sessions ahead of time so you can obtain the most information possible. Then, you can reconvene and talk about what you learned.

 

Once you have your ed sessions picked out, make sure to be on time (or even early). If there’s a session you’re super excited to attend, there’s a pretty good chance lots of other people are also excited. It is important to note: Seating capacity is limited for some rooms, so sessions could close. If your session is full, consider checking out one of our awesome Game Changers.
